What Is Event Liability Insurance?

A special event can be anything from a wedding to a multi-day festival involving food and alcohol sales, amusement rides and auto races, rodeos, athletic contests and parades. Whatever your event, chances are your regular insurance program will not cover these exposures.

If you are planning a special event, check with an insurance agent to determine what coverage, if any, may be provided by your existing insurance and what additional special event insurance you will need to carry. You should obtain insurance for events well before the time it is needed, as the process to underwrite this kind of coverage can be complicated and lengthy.

Special events can involve a many different exposures, including:

  • Automobile liability
  • Liquor liability
  • Aircraft liability
  • Spectator liability
  • Products liability
  • General premises liability
  • Animal liability
  • Liability for rented or loaned property
  • Damage to owned property
  • Medical malpractice if you have a first aid station

What Does Event Liability Cost?

The cost on the policy depends on many things. In order to receive an accurate quote, it’s important to have this information available when talking with your insurance agent:

  • The nature of the event
  • The length of the event
  • The location of the event
  • A list of all activities planned
  • The number of participants expected
  • What are the provisions for crowd control?
  • Will liquor be served or sold?
  • Are there any amusement rides?
  • Are there activities that can involve injury to spectators?
  • Are vehicles or other motorized equipment involved?
  • Is food to be provided or sold?
  • Are outside vendors involved and will they provide proof of their own insurance?
  • Who is running the event and what experience have they had?
  • Are there any prior claims if the same event has been held previously?
  • What limits of liability are requested?

If you are planning to rent a facility for the event, the owner may require that you purchase special event coverage as a condition of the rental. In many cases, the owner will want to be an additional named insured on the policy.

Gigi Luedecke has become a tremendous asset to TXINS since joining the staff in 2010. She started in the Crop Department and then joined the Personal Lines team when the Needville office opened in March 2014.   • Mr. Sorrel and Operations Manager Kara Wood attended the 116th Independent Insurance Agents of Texas (IIAT) Conference in San Antonio on June 3 – 5. They had the opportunity to network with various insurance carriers and agents strengthening relationships and creating new ones.
  • The Traditions Insurance team will be attending the 41st Annual Eagle Lake Field Day on June 30. Watch for our team members who will be out and about to visit with you about your crop insurance needs.

I work for a small nonprofit organization and we want to hold a fun run to raise money for our cause. We were told by the Mayor’s Office that we needed to have event insurance in order to be permitted. What does event insurance cover? – Brittney M., Houston, TX

Dear Brittney:

Holding a fun run is a great idea! People love to support their favorite charities by lacing up their tennis shoes and running for a great cause! Purchasing event insurance is a smart move for many reasons. Most importantly, if someone gets hurt while participating in your event, event insurance can cover their medical bills. Additionally, if the event is cancelled due to bad weather, you can submit a claim to cover lost deposits. It’s a great safety net to ensure your potential losses are minimized and your ability to raise funds is maximized.

Your first step is to talk with your insurance agent to see what, if any, coverage already exists under your current commercial liability policy. That will help you determine what additional coverage you will need (based on the permitting agency’s requirements).

Standard personal or commercial policies will not cover all risks. In most cases you will find that you are better off having event liability insurance that is specifically tailored to cover your situation.

The cost of special event insurance for a one day, non-hazardous event can cost as little as a few hundred dollars. The longer the event takes place and the more activities you plan, the higher the price for insurance will rise. It takes an expert to know what information is needed and which carriers to approach for a quote. It’s important to speak with a trusted insurance agent who will give you the professional advice you need to make sure you are adequately covered.

Before you walk down the aisle, here are 4 things you should do to protect yourself and your wedding.1. Insure the ring immediately. You can add it to your existing renter’s or homeowner’s policy or create a new policy.

2. Combine insurance policies. You can save money by combining your home and auto policies into one.

3. Get event insurance. Protect against lost deposits, vendors that don’t deliver, or accidents that might happen during the event.

4. Insure your valuable gifts. China, silverware, goldware, and artwork are gifts that may not be covered under your standard homeowners policy. Make a list of all of your gifts to determine what items may need additional coverage.
